We are seeking a talented Program Administration & Data Specialist to join our growing Workforce Development Team to support data entry and analysis, the development of visual tools for program management, and maintenance of existing reporting systems. The Program Administration & Data Specialist will work alongside the Pre-Apprenticeship and Registered Apprenticeship teams to perform the responsibilities described below.

Responsibilities

Primary Purpose:

The Program Administration & Data Specialist will work closely with the Manager of Workforce Operations & Advancement to support data management best practices for multiple statewide workforce development grant initiatives. Key responsibilities include, but are not limited to:

Pre-Apprenticeship Initiatives:

Facilitate the flow of Program applications to each Alliance Partner.
OSOS data entry, the one stop operating system for the New York State Department of Labor, for each Program participant at enrollment.
Obtain social security numbers (SSNs) from Alliance Partners for Program participants at the start of each cohort and record in OSOS.
Request attendance reports monthly from Alliance Partners, record absences and exits in OSOS and Smartsheet.
Request monthly status updates from each Alliance Partner for Program participants in follow up, then record in OSOS and Smartsheet.
Monthly reconciliation to ensure that all data is up to date.
Scorecard for MACNY and Alliance Partners weekly.

Registered Apprenticeship Initiatives:

Maintain and improve existing reporting systems using Smartsheet.
Perform analysis of statewide Registered Apprenticeship Program data.
Develop visual tools for program management, including dashboards, data charts/tables, and graphs to show progress toward meeting programmatic targets.
Perform work as a team member in support of multiple Registered Apprenticeship Program grant initiatives.
