PURPOSE: Under general supervision, the Benefits Data Specialist is responsible for assisting with implementing all employee benefits and retirement programs in compliance with federal, state and local regulations and established Board policies.
EMPLOYMENT QUALIFICATIONS:
Education:
High school diploma or equivalent.
Associates degree preferred.
Experience:
3 years’ relevant work history.
Demonstrated technology skills with HRIS, word-processing, and spreadsheet software.
Experience with a variety of databases and computer software applications such as Microsoft Office Suite, Google Suite, all facets of Alio, Filemaker, and appropriate insurance websites and online tools.
KNOWLEDGE, SKILLS, & ABILITIES:
Knowledge of Benefit terminology, applicable laws and regulations.
Problem solving and organizational skills.
Excellent verbal and written communication skills.
Ability to attend to details.
Ability to maintain confidentiality.
Be able to evaluate and interpret data and compile written reports in narrative and statistical form.
DUTIES & RESPONSIBILITIES:
Ensure the organization’s benefits programs comply with Affordable Care Act (ACA), ERISA, HIPAA, and COBRA and other federal, state, and local regulations.
Verify the calculation of the monthly premium statements for all group insurance policies and maintain statistical data relative to premiums, claims and costs.
Assist the Benefits Coordinator in collecting information, managing communication and completing data requests from insurance providers.
Responsible for processing benefit plan enrollments, terminations, and change forms through input to Human Resource system (ALIO);
Responsible for communicating terminations to all insurance companies.
Assist with all aspects of annual open enrollment.
Assist with answering questions regarding district disability insurance, collecting information, filing claims, and reporting.
Assist with Family Medical Leave Act (FMLA) cases by collecting information, monitoring permission to return to work, and reporting to various supervisors.
Assist with Workers Compensation cases by collecting information, monitoring permission to return to work, and reporting to various supervisors.
Facilitate the monthly ACA AF Comply upload.
Assist in auditing and monitoring payroll reports and benefits eligibility reports; ensure that all staff deductions and payments for benefits are properly accounted for and deposited in a timely manner by conducting monthly edits.
Assist with monthly KPERS reconcilement and annual audits.
Assist with facilitating communication regarding sick leave banks.
Manage data in various databases and applications in order to produce reports and complete surveys.
Assist with coordination of biometric screenings.
Assist in reviewing and revising various handbooks and employment forms.
Apply composition and proofreading skills in producing clear, accurate, and fact-based memos, letters, reports, and other documents for appropriate stakeholders.
Perform other responsibilities as assigned by the HR Directors or other appropriate administrators.
PHYSICAL REQUIREMENTS & WORK ENVIRONMENT:
While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk and hear.
The employee is occasionally required to stand; walk and reach with hands and arms.
The employee must regularly lift and /or move up to 50 pounds.
Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception and ability to adjust focus.
The work environment is in an office setting.
The noise level in the work environment is usually moderate.
